Cancellation Policy

We reserve appointment time specifically for you. This policy explains how cancellations and missed appointments work so expectations stay clear and fair for everyone.

Why Notice Matters

When you cancel or miss a session with little notice, that time often cannot be offered to another client. Advance notice helps us care for you and for others who may be waiting for an opening.

How to Cancel or Reschedule

Please cancel or reschedule as soon as you know you cannot keep your appointment. Contact your therapist or our office by phone at 203.304.9977, or use the method your therapist has shared with you for scheduling changes.

  • 48 hours or more before your appointment: No fee
  • Less than 48 hours before your appointment: $120 late cancellation fee
  • Missed appointment (no-show): $120 fee when you do not attend and do not cancel beforehand

Fees

  • Missed appointment (no-show) fee: $120
  • Late cancellation fee: $120

These fees are your responsibility and are not billed to insurance.

When a Fee May Be Waived

We understand that emergencies and unexpected circumstances happen. In some situations, your clinician may waive a fee at their discretion — for example, when there are extenuating circumstances beyond your control. If something comes up, please reach out as soon as you can so we can talk through next steps.

Repeated Cancellations or Missed Appointments

If missed appointments or late cancellations become a pattern, we will talk with you about what is getting in the way and how we can support more consistent attendance. In some cases, we may need to adjust scheduling or pause services so we can make the best use of available appointment times.

Medicaid Clients

If you are covered by Medicaid:

  • You will be asked to review and sign attendance and missed-appointment acknowledgment paperwork at intake
  • Missed appointments and late cancellations are still documented, but those fees are not billed to Medicaid
  • Three consecutive no-shows and/or late cancellations may result in services being paused or discontinued, unless an approved exception applies (such as a documented medical emergency)
